Who is responsible

The HomePassport service may be operated on behalf of housing providers. CPH Retrofit operates the platform technology. For resident-specific questions about lawful basis and retention, read your housing provider’s privacy notice alongside this policy.

Data we process (high level)

Account identifiers such as email address and name; property and tenancy metadata; passport content you or your provider uploads including measures, certificates, and imagery; operational telemetry required to run the service; billing and audit artefacts for organisation accounts where applicable.

Optional modules — for example environmental sensors or wellbeing journaling — only apply when your provider enables them and you use those features.

Purposes

Providing and securing the service, authenticating users, delivering notifications you opt into, supporting housing-provider obligations around retrofit and property care, and improving reliability of the platform in aggregate form where permitted.

Retention

We retain data for as long as needed to provide the service and meet contractual and legal obligations with housing providers. Specific retention periods for resident, provider, and telemetry data are set out in provider agreements and may vary by programme.

Depending on context, you may have rights to access, rectify, erase, restrict, or object to certain processing, and rights relating to portability. Requests may be routed through your housing provider or sent to us using the contact details on the Contact page.
